ArchLabs.ph Privacy Policy
· @Chris
Effective date: 1 November 2026
This policy explains what personal information ArchLabs.ph collects, why, who else handles it, and how to reach us about it. It follows the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.
Who we are
ArchLabs.ph is run by Christopher Gomez, a registered independent professional based in Tungkil, Minglanilla, Cebu 6046, Philippines. We provide SEO, AEO and GEO services and WordPress website builds for small and mid-sized businesses.
For the information described here, Christopher Gomez is the personal information controller and acts as our data protection officer. You can reach him at admin@archlabs.ph about anything in this policy.
What we collect
We only collect what you give us, plus a little technical information that every website receives.
Where | What we collect |
|---|---|
Free audit request form (archlabs.ph/contact) | Your name, email address, website address, business name (optional), the services you're interested in, and any message you add |
Client onboarding form (sent to clients we work with) | Your name and email; your business name, website, address, Google Maps link, phone number and opening hours; what your business does, its services, prices and target customers; languages and contact channels; awards and accreditations; common customer questions; competitors you'd like us to compare; and any notes you add |
Booking a call | Your name, email and the time you choose, through Calendly |
Emails and messages | Whatever you choose to send us |
Client websites | If you give us access to your website to do the work, we may see information stored on it, such as user accounts or form entries. We don't copy or use it for anything except the work you asked for |
Technical data | Our web host keeps standard server logs (IP address, browser, pages visited, time) for security. The onboarding form also keeps a scrambled, unreadable version of your IP address for one hour to stop spam |
Most of what the onboarding form asks for is information about your business that already appears, or will appear, on your website. We don't ask for and don't want sensitive personal information (such as health, government ID or financial account details).
How we use it
We use your information only to reply to you and to do the work you ask for:
- to reply to your enquiry and send you your free visibility audit;
- to review how your business appears in Google and in AI assistants such as ChatGPT, Gemini and Perplexity;
- to plan and make improvements to your website (titles, descriptions, image text, FAQs and structured data), which we only publish with your approval;
- to send proposals, invoices and monthly reports, and to keep the records the BIR requires;
- to keep our website and forms secure and free of spam.
We process your information because you asked us to (by sending a form or booking a call), because it's needed for our agreement with you, to meet legal obligations such as tax records, and for our legitimate interest in keeping our systems secure. We don't sell your information, use it for advertising, or add you to a mailing list without asking.
Who else handles it
We use a few trusted services to run ArchLabs.ph. Each one only gets what it needs for its task.
Service | What it does for us | What it receives |
|---|---|---|
Hostinger | Hosts our website and forms | Form answers and standard server logs |
Our email provider | Sends and stores our email | Emails you send us and form notifications |
Calendly | Lets you book a call | Your name, email and booking details |
Anthropic (Claude), OpenAI (ChatGPT), Google (Gemini) and Perplexity | Audits: we ask these AI assistants the questions your customers ask, to see whether they mention your business. Claude also helps us draft website text and image descriptions | Your website address, publicly visible website content and images, and business details from the onboarding form. Never your personal name, email address or other contact details |
Google PageSpeed Insights | Checks your website's speed | Your website address only |
We use the paid business versions (APIs) of the AI services, not their free consumer apps.
If a freelance partner helps on your project, they work under a written confidentiality agreement and only see what they need. We'll also disclose information if the law or a lawful order requires it.
Information sent outside the Philippines
Some of the services above store or process information on servers outside the Philippines, mainly in the United States and Europe. We choose services with strong security and privacy commitments, and we send them only what each task needs.
How long we keep it
Information | How long |
|---|---|
Enquiries and audits that don't lead to a project | Deleted after 12 months |
Onboarding form answers on our web server | Deleted after 90 days. By then we've moved them into our client records |
Client records, contracts and invoices | For the length of our work together, then up to 5 years for tax and legal requirements |
Spam-protection data (scrambled IP address) | 1 hour |
Server logs | As set by our web host, usually a few weeks |
After that, we delete the information or make it anonymous.
How we protect it
- Our website and forms use encrypted connections (HTTPS).
- Form answers are stored in a folder that can't be opened from the web. Only our own audit tool can fetch them, using a private key.
- Audit records are kept on a password-protected work computer, and only Christopher Gomez and approved partners can access them.
- We keep our website software and server up to date with security patches.
If a data breach is likely to put you at real risk, we'll tell you and the National Privacy Commission within 72 hours of finding out, as the law requires.
Cookies and analytics
Our website uses a small number of cookies:
Cookie | Set by | Why |
|---|---|---|
| Google Analytics | Counts visits and shows which pages are useful, so we can improve the site. Google Analytics doesn't store your full IP address |
| Our website builder | Remembers your visit for page features and forms |
Our pages also load fonts from Google Fonts, which receives your IP address to deliver them. You can block or delete cookies in your browser settings. To opt out of Google Analytics on every site, use Google's opt-out add-on.
Your rights
Under the Data Privacy Act you have the right to:
- be told how your information is used (this policy);
- see the information we hold about you and get a copy;
- correct anything that's wrong or out of date;
- object to processing, or withdraw your consent;
- ask us to delete or block your information;
- get your information in a format you can take elsewhere;
- be compensated for damage caused by misuse of your information;
- complain to the National Privacy Commission.
To use any of these rights, email admin@archlabs.ph. We'll reply within 15 working days. We may need to keep some records if the law requires it, such as invoices. We'll tell you if that's the case.
Children
Our services are for businesses. We don't knowingly collect information from anyone under 18.
Changes to this policy
We'll update this page when how we work changes, and show the new effective date at the top. If a change affects clients we're working with, we'll tell you by email.
